Chingford
League - a problem for us ALL
Will someone in Orion please take on this vital position
to enable the wonderful Chingford League to
continue
thru next winter's XC season?
In
my role as Chairman of the Chingford League I am writing to all
the clubs to explain the current position and the problem we
find ourselves with. The present Hon Secretary Jan Bowman, has
for both medical and personal reasons decided not to stand for
office this year, her husband Neil, who was responsible for
producing the senior race results, has also stood down. As a
league we cannot function unless both of these positions are
filled within a short timescale.
After
some discussion at the AGM on the 28th April and with
no obvious candidates for the jobs, it was decided to advertise
both positions throughout all ten clubs in the league in the
hope that someone will volunteer. Please Jan's job description,
below.
The
bad news is that unless we get volunteers for the positions
before a deadline of the 15th June, then an
Extra-Ordinary General Meeting will be called to dissolve the
league and share out any monies held. I realise this is a
drastic step but we have already provisionally agreed on dates
for the postponed end of season relay (Wednesday 23rd
July) and the fixtures for next winter so the new person/persons
need to be in place to start organising these as soon as
possible.
John
Denford, Chairman, Chingford League
Introduce
yourself to the ten clubs that are in the league. Ask them to notify
you of who needs to receive race info, results etc.
Check
with Roger Attwood that he is still happy to sponsor league.
Order
race numbers for forthcoming season.
It
depends on who does the results this season to who will make the
race packs up, it could be your job or the results compiler may want
to do the job him/her self.
Make
contact with the host club before each race to confirm race details
for the forthcoming event and them mail this info out.
On
race day liaise with John Denford and make sure there are enough
officials.
Deals
with any questions as necessary
After
race, tidy up and then leave.
Mail
out junior and senior results once received and also a copy to
Athletics weekly.
In
February make contact with all winners from previous season to make
sure that trophies come back to you either at Victoria Park or at
the relays.
Make
sure you have ordered the relay numbers and trophies.
On
the day of the relays the individual results will have been finished
but the team winners will be decided on this day you will need to
make sure that you have or that the results compilers bring
positions after last race so that you can do the final team points
for the season.
Beginning
April check with Roy Stratton when the other cross country league
AGM’s are and then choose a suitable date for this one
(usually end of April on a Monday night).
Once
AGM date set send out notification to clubs and ask them for agenda
items to be to you 2 weeks before AGM. If any proposals usually
speak to John before AGM.
Either
mail out and print copy of Agenda, Minutes from Previous Year,
Provisional Fixtures list (provided by Roy) for forthcoming season,
any proposals received. Treasurer will bring financial report.
Take
minutes from AGM and then once done mail out to all clubs.
